1. Introduction

mBC Companion is designed to help individuals affected by metastatic breast cancer organize information, prepare for appointments, track questions, keep notes, and access educational and support resources.

We understand that information related to metastatic breast cancer can be deeply personal and sensitive. This Privacy Policy explains what information we collect, how we use it, when we may share it, how we protect it, and what choices you have.

2. Important HIPAA Notice

mBC Companion is not a healthcare provider, health plan, healthcare clearinghouse, or HIPAA-covered entity. We are not currently operating as a business associate of a HIPAA-covered entity.

This means that information you enter into mBC Companion may not be protected by HIPAA.

Even though mBC Companion is not HIPAA-covered, we still treat health-related information as sensitive. We use reasonable administrative, technical, and organizational safeguards designed to help protect the information you choose to enter into the app.

mBC Companion does not claim to be HIPAA-compliant, HIPAA-certified, HIPAA-secure, or HIPAA-protected. This Privacy Policy is not a HIPAA Notice of Privacy Practices.

3. Not Medical Advice

mBC Companion is an educational, organizational, and support tool. It does not provide medical advice, diagnosis, treatment recommendations, emergency care, or professional healthcare services.

Information in the app should not replace advice from your oncology team or another licensed healthcare professional. Always consult your healthcare provider about symptoms, treatment options, scan results, medications, side effects, or changes in your care plan.

Do not use mBC Companion for emergencies or urgent medical concerns. If you believe you may be experiencing a medical emergency, call emergency services or contact your healthcare provider immediately.

4. Information We Collect

4.1 Account and Contact Information — Name, email address, login credentials, communication preferences, and messages you send to us for support or feedback.

4.2 Health-Related Information You Choose to Enter — Cancer profile, treatment information, medication notes, scan records, appointment details, questions for your care team, visit preparation notes, journal entries, symptoms, and other notes you choose to store. You control what you enter.

4.3 App Activity and Usage Information — Pages or features accessed, buttons used, settings and preferences, date and time of access, error logs, and general performance data.

4.4 Device and Technical Information — IP address, browser type, device type, operating system, general location inferred from IP address, log files, and cookie or session information.

4.5 Information You Should Avoid Entering — Social Security numbers, insurance ID numbers, medical record numbers, financial account numbers, full medical records, or information about other people without their permission. Please only enter information you are comfortable storing in a non-HIPAA consumer app.

5. How We Use Information

We use information to provide app features, manage accounts, help users organize metastatic breast cancer information, respond to support requests, troubleshoot issues, maintain security, improve usability, and comply with legal obligations.

We do not use health-related information to target advertising to you.

6. How We Share Information

We do not sell your personal information or health-related information.

We do not share your information with advertisers, data brokers, or unrelated third parties for marketing purposes.

Service Providers: We may share limited information with trusted service providers that help us operate, host, secure, maintain, troubleshoot, analyze, or improve mBC Companion — such as providers for app hosting, authentication, cloud storage, security monitoring, and technical support. These providers are permitted to use information only as needed to provide services to us.

User-Directed Sharing: If you choose to export, download, copy, or share your information, you are responsible for deciding what to share and with whom. Once shared outside mBC Companion, we cannot control how the recipient uses it.

Legal and Safety Reasons: We may disclose information to comply with applicable law, protect rights and safety, respond to legal process, or prevent fraud, abuse, or security incidents.

Business Changes: If mBC Companion is involved in a merger, acquisition, or transfer of operations, information may be transferred as part of that transaction, subject to continued privacy protections.

7. What We Do Not Do

  • Claim to be HIPAA-compliant, HIPAA-certified, HIPAA-secure, or HIPAA-protected
  • Claim that user-entered information is protected by HIPAA
  • Sell personal information or health-related information
  • Share health-related information with advertisers or data brokers
  • Use health-related information for targeted advertising
  • Provide medical advice, diagnosis, or treatment
  • Provide emergency services
  • Replace your oncology team or licensed healthcare providers

8. Analytics — Aggregate Only

This app collects aggregate, feature-level analytics to understand how the tool is used and improve it. We do not build individual user profiles from analytics, and analytics never include your health values, free-text notes, diagnosis, biomarkers, symptoms, medications, or provider/clinic names. Access to analytics data is limited to authorized administrators.

What we track (aggregate only):

  • Which sections are visited (e.g. "Watch & Learn", "Resources")
  • Which education or video modules are started or completed (by module ID only)
  • Counts of journal entries, scans, and appointments created (counts only, no content)

What we never track:

  • Diagnosis dates, biomarker results, or any health values
  • Free-text notes, symptoms, pain scores, or medications
  • Any patient-specific or personally identifiable health information

9. Data Security

We use reasonable administrative, technical, and organizational safeguards designed to help protect information in mBC Companion from unauthorized access, loss, misuse, alteration, or disclosure.

However, no website, app, database, internet transmission, or electronic storage system can be guaranteed to be completely secure. You use mBC Companion with the understanding that security risks cannot be completely eliminated.

Please help protect your account by using a strong password, keeping your login information private, and signing out when using shared devices.

10. Data Retention

We retain information for as long as reasonably necessary to provide mBC Companion, maintain your account, comply with legal obligations, resolve disputes, and support legitimate business purposes.

If you delete your account or request deletion, we will take reasonable steps to delete or de-identify your information, subject to legal, security, technical, backup, or audit requirements.

11. Your Choices

Depending on your location and applicable law, you may have rights to access, correct, delete, or export personal information we have about you, or to withdraw consent or object to certain processing.

12. Consumer Health Data Notice

Some state privacy laws may provide additional rights for consumer health data that is not covered by HIPAA.

We do not sell consumer health data. We do not share consumer health data with advertisers, data brokers, or unrelated third parties for marketing purposes.

We may share limited consumer health data with service providers only as needed to operate, secure, maintain, troubleshoot, or improve the app; when you direct us to share it; when required by law; with your consent; or as otherwise described in this Privacy Policy.

13. Children's Privacy (18+)

mBC Companion is intended for users who are 18 years of age or older. We do not knowingly collect personal information from anyone under 18.

If we learn that we have collected information from a person under 18, we will take reasonable steps to delete it. Contact us at info@exchangecme.com if you have concerns.

14. Changes to This Privacy Policy

We may update this Privacy Policy from time to time. If we make material changes, we will take reasonable steps to notify users, such as by posting the updated policy in the app and updating the effective date.

Your continued use of mBC Companion after an updated Privacy Policy becomes effective means you accept the updated policy.

15. Funding and Editorial Independence

This program is supported by an independent educational grant. Educational grant support means a third party provided funding; it does not mean that party wrote, chose, or approved what you read here.

The supporter does not receive your information. No personal details, health information, journal entries, symptom data, or free text you enter is shared with the supporter, and the supporter cannot identify individual users of this app.

The supporter does not control the content. The supporter had no role in selecting, developing, or reviewing the educational material, resources, or safety guidance in this app.
